Biznmotion LLC (“we,” “our,” or “us”) respects your privacy. This Privacy Policy describes how we collect, use, and share information when you visit our website at biznmotion.com, use our AI voice receptionist or reputation management platform, or interact with our services including voice calls, SMS, and email communications.

1. Information We Collect

We may collect the following types of information:

  • Contact information you provide, such as your name, email address, phone number, and company name when you reach out to us or sign up for our services.
  • Voice call data from our AI voice receptionist service: transcripts (calls are transcribed in real time; raw audio is not retained, see Section 3), caller-provided details (name, address, phone, callback time), and call metadata (timestamp, duration, routing decisions).
  • Customer data provided by our business clients, including end-customer names, phone numbers, and email addresses for the purpose of answering calls, sending review requests, and managing communications on behalf of our clients.
  • Review and feedback data including star ratings, written reviews, and responses submitted through our review management platform.
  • Google Business Profile data accessed via the Google Business Profile API, including business listing information, customer reviews, and review responses, used to monitor and manage our clients' online reputation.
  • Usage data collected automatically, including IP address, browser type, pages visited, and time spent on our site.
  • Cookies and similar technologies to improve your browsing experience and analyze site traffic.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and provide our services
  • Operate our AI voice receptionist on behalf of our business clients (answering calls, capturing intake details, routing leads, delivering transcripts)
  • Send SMS and email review requests on behalf of our business clients to their customers
  • Monitor and manage Google Business Profile reviews for our clients
  • Draft AI-powered review responses for client approval
  • Provide dashboards and reporting to our clients
  • Improve our website and service offerings
  • Send relevant communications about our services (with your consent)
  • Analyze website usage to improve user experience
  • Comply with legal obligations

3. AI Voice Receptionist: Call Recording and Transcription

Our AI voice receptionist service records and transcribes phone calls placed to forwarded numbers operated for our business clients. Important information about this practice:

  • Notification: Callers are notified at the start of each call that the call may be recorded for quality purposes, consistent with single-party and two-party consent standards across US states.
  • Storage: We do not retain raw call audio. Calls are transcribed as they happen and only the text transcript is stored — there is no recording on our systems or at our telephony provider. Transcripts are deleted after 24 months, or sooner on request. See section 10.
  • Purpose: Transcripts are used to deliver call summaries to our business clients, to improve the voice agent's knowledge base, and to address escalations or disputes.
  • Human review: Our team reads conversations internally to find where the assistant handled something badly and to correct it. That means a person may read a transcript of your conversation. This is service improvement, not model training — see section 3b.
  • Third parties: Voice processing is provided by OpenAI (real-time voice AI, our primary engine) and, for certain tiers, Vapi (AI voice orchestration), with Twilio providing telephony. Their respective privacy policies apply to data processed on their infrastructure.

3a. Website Chat Widget

Our websites, and the websites of business clients who install our chat widget, include an AI-powered chat assistant. Before a conversation begins, the widget presents a consent notice; declining it means no conversation is recorded. If you consent and chat, we collect the messages you send, any contact details you choose to share (such as your name, email address, or phone number), and technical metadata needed to operate the widget. Chat conversations are processed by our AI model providers to generate responses, are stored so the business can follow up with you, and may be reviewed for quality. Chat transcripts are treated as customer data under this policy and are retained and deleted on the same schedule as call data.

3b. Whether Your Conversation Trains AI Models

No. Your conversations are not used to train AI models — ours or anyone else's. People ask this often and the honest answer has two halves, because two different things get called “training”.

  • The AI providers we send your messages to do not train on them. We use OpenAI, Anthropic and Google through their commercial APIs. Under those providers' current terms, content sent through the API is not used to train their models. This is a different arrangement from the consumer chatbot products those companies also sell.
  • We do not fine-tune models on your conversations either. If that ever changes, this page changes first, before any such training begins — not afterwards.
  • We do read conversations. Our team reviews them to find where the assistant answered badly and to fix it. What gets changed is our written instructions to the assistant, not the model. The model learns nothing from your conversation; we do. Calling that “training” would be inaccurate, but you are entitled to know a human may read what you wrote, so we say so plainly here and in section 3.

We do not sell conversation data.

3c. Who Is Responsible for Your Data (Business Clients and Their Customers)

Our assistant runs on other businesses' phone lines and websites. If you are a member of the public who called or messaged one of those businesses, the split of responsibility matters and is often not explained anywhere, so here it is.

  • The business you contacted is the controller of your conversation. It is their customer relationship, their decision to deploy an assistant, and their data.
  • Biznmotion is the processor. We handle that conversation on their behalf and under their instructions. We do not use it for our own marketing, we do not sell it, and we do not merge it into a wider dataset about you.
  • The business warrants that it is entitled to deploy us on the phone line or website where you met the assistant, and to have those conversations processed as described here.
  • Sub-processors are the service providers listed in section 6. We remain responsible to our business client for their handling of the data.
  • Deletion requests can come to us directly or through the business. Either route works — see section 12. If you ask us and the business is the controller, we action it and tell them; we do not bounce you back and forth.

For our own website and our own prospects — for example if you request a demo from us — we are the controller, and the rest of this policy applies to us directly.

4. SMS and Text Messaging

Our reputation management service sends SMS text messages to end customers of our business clients. Important information about our SMS practices:

  • Consent: SMS messages are only sent to individuals who have provided prior express written consent to receive messages from the applicable business, or who have initiated contact with the business themselves (for example, by calling or texting the business first). Consent is collected at the point of service by our business clients. Our consent practices and the exact disclosure language we require are documented at biznmotion.com/sms-consent.
  • No third-party marketing: Mobile phone numbers and text messaging originator opt-in data and consent are never sold, rented, or shared with third parties or affiliates for their marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
  • Message frequency: Customers typically receive 1-3 messages per service interaction (initial review request, follow-up reminder, and optional thank-you).
  • Opt-out: Recipients may opt out at any time by replying STOP to any message. Once opted out, no further messages will be sent.
  • Help: Recipients may reply HELP for assistance or contact us at [email protected].
  • Message and data rates: Standard message and data rates may apply depending on your mobile carrier and plan.
  • TCPA compliance: We comply with the Telephone Consumer Protection Act (TCPA) and all applicable federal and state regulations regarding text messaging.
  • Carrier information: SMS messages are sent via Twilio, a third-party communications platform. Twilio's privacy policy is available at twilio.com/legal/privacy.

5. Google API Data (Business Profile & Calendar)

We access Google Business Profile data through the Google Business Profile API to provide our reputation management services. This includes:

  • Reading and monitoring customer reviews on Google
  • Posting review responses on behalf of our clients (with client approval)
  • Accessing business listing information for display in our client dashboard

Google Business Profile data is accessed only with explicit authorization from the business owner via OAuth 2.0. We do not sell, share, or use Google Business Profile data for any purpose other than providing our services to the authorized business. Our use of Google Business Profile data complies with the Google API Services User Data Policy.

Google Calendar

For business clients who connect their Google Calendar, we access the Google Calendar API via OAuth 2.0 to power appointment booking. Specifically, we read calendar availability (free/busy) to offer open times and create, update, or cancel calendar events for appointments booked through our voice agent or booking pages on the client's behalf. Google Calendar data is accessed only with the explicit authorization of the calendar owner, used solely to provide these booking features, and is never sold or used for advertising or any unrelated purpose. You may revoke access at any time through your Google Account settings. Our access, use, storage, and sharing of Google user data obtained through Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.

6. Information Sharing

We do not sell your personal information. We may share information with:

  • Service providers who help us operate our business, including:
    • Vapi (AI voice orchestration)
    • Deepgram (speech-to-text transcription for phone calls and for voice notes recorded on our demo request form)
    • Twilio (SMS messaging and phone number provisioning)
    • Mailgun (email delivery)
    • Supabase (database hosting)
    • Cloudflare (website hosting and security)
    • Google (Business Profile API for review management)
    • TikTok (Content Posting API for video publishing)
    • Anthropic / OpenAI (AI model providers for voice, chat, and review-response drafting)
    • Stripe (payment processing; card details are collected and stored by Stripe, not by us)
  • Business clients who use our platform receive access to data related to their own customers and reviews only.
  • Legal authorities when required by law or to protect our rights
  • Business transfers in connection with a merger, acquisition, or sale of assets

7. Subsidiary Brands & E-Commerce Operations

Biznmotion LLC is the parent company operating several brands and online properties, including Pet Pic Portraits (petpicportraits.com). Through these brands, we sell products on third-party marketplace platforms including TikTok Shop and Etsy, and fulfill orders through print-on-demand partners including Printify, Printful, Gelato, and Gooten.

When customers purchase from our brands on these platforms, we may access and process order data (name, shipping address, order details) provided by the platform solely for the purpose of fulfilling orders. We do not store marketplace customer data beyond what is necessary to complete the transaction. All data is accessed and processed within the United States.

Each platform and fulfillment partner maintains its own privacy policy governing their handling of customer data.

8. TikTok API Integration

Biznmotion LLC operates a social media management platform (“Biznmo”) that integrates with TikTok's APIs to publish content on behalf of our managed brands. This section describes how we handle data obtained through TikTok's platform.

Biznmo runs at biznmo.com. You will see that domain during TikTok's authorization step, because it is the registered redirect for our applications. It is an internal operations platform operated by Biznmotion LLC, not a separate company and not a public service.

What We Access

When a TikTok account owner authorizes our application via TikTok Login Kit (OAuth 2.0), we access the following:

  • Basic profile information: display name, profile picture, and open_id (via user.info.basic scope)
  • Video publishing: the ability to upload and publish video content to the authorized TikTok account (via video.upload and video.publish scopes)

We do not access private messages, follower lists, analytics, or any data beyond the scopes listed above.

How We Use TikTok Data

  • Store your TikTok display name and open_id to identify the connected account in our dashboard
  • Store OAuth access tokens and refresh tokens securely in our encrypted database to maintain the connection
  • Publish video content that you or your authorized team members create and approve through our platform

TikTok Shop Partner API

Where a TikTok Shop seller authorizes our application, we access order and fulfilment information belonging to that seller, solely for the function the seller authorized. We do not combine it with unrelated data and we do not use it for advertising. We delete it when the seller disconnects the application or the relationship ends. Sellers and TikTok Shop may ask us to provide, correct, or delete this data at any time, and we action such requests within 30 days.

Data Storage & Security

TikTok OAuth tokens are held server side in our database and are never exposed to the browser. Biznmotion LLC is a single-operator company: access to stored tokens and to the systems holding them is restricted to the owner, and no employee, contractor, or third party holds those credentials. We do not share TikTok data with any third parties.

Data Retention & Deletion

We retain TikTok account connection data for as long as the account remains connected. You can disconnect your TikTok account at any time by:

  • Removing the connection from your Biznmo dashboard
  • Revoking access from TikTok's Settings → Security → Manage App Permissions
  • Contacting us at [email protected] to request data deletion

Upon disconnection or deletion request, we delete all stored TikTok tokens and profile data within 30 days.

Children's Privacy (TikTok)

Our TikTok integration is used exclusively for business brand accounts. We do not knowingly collect data from children under 13 through our TikTok integration.

9. Data Security

We implement reasonable technical and organizational measures to protect your personal information, including encryption in transit (TLS/SSL), secure database access controls, and regular security reviews. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

10. Data Retention

We keep each kind of information for a set period and then delete it. These periods are enforced by an automated sweep, not by anyone remembering to run something.

Longer retention applies only where the law requires it, or where we have been notified of a legal claim for which the information is evidence.

11. Third-Party Links

Our website and messages may contain links to third-party sites, including Google review pages. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies.

12. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Request correction or deletion of your data
  • Opt out of SMS or email communications at any time
  • Request a copy of your data in a portable format
  • Withdraw consent for data processing

To exercise these rights, email [email protected] or call (888) 997-6457. Tell us roughly when and where you spoke to the assistant — the phone number you called from, or the website you were on — and we will locate the conversation from that. You do not need an account with us.

If you spoke to an assistant on another business's phone line or website, that business is the controller of your conversation (see section 3c). You can ask either of us. If you ask us, we will action the deletion and notify them; we will not send you away to make the request again somewhere else.

We respond within 30 days. Deleting a conversation removes it from our live systems immediately; encrypted backups age out on the schedule in section 10 and are never restored into service.

13. Children's Privacy

Our services are not directed to individuals under 18. We do not knowingly collect personal information from children.

14. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date. Material changes will be communicated to affected parties via email when applicable.
