A missed call text back message works when it names your business, asks one question and gives the caller an easy way to reply, all within seconds of the call you could not pick up. Here are examples by trade, what makes a good one, and the rules that keep you out of trouble.

How missed call text back works

Someone calls. You are under a sink, in a panel, or mid-cut, and it rings out. Within a few seconds their phone buzzes with a text from your business number. They answer the text. You have a conversation, or a booking, that would otherwise have been a voicemail nobody left.

That is the whole mechanism. It works because a text asks for less than a call does. The caller does not have to wait, does not have to talk, and can answer with one thumb from the car. Owners who use it tend to hear about it from each other; one plumber on PlumbingZone put it as "One of my buddies uses some kind of automated text-back system and swears by it."

The text can be sent by hand from the truck, by your phone system, or by a service. What it says matters more than what sends it, so start there.

Missed call text message examples by trade

Each of these names the business, asks one question and tells the caller how to answer. Swap in your own name and keep the shape.

Plumbing:

Hi, this is Marsh Plumbing. Sorry we missed your call. Is this a repair or a quote? Reply here and we'll get you sorted.

HVAC:

Bayside Heating and Air here. We missed you, sorry. Do you have any cooling right now? Reply yes or no and we'll call straight back if it's urgent.

Electrical:

This is Keller Electric. Sorry we couldn't pick up. What's the job? Reply with a line or two and we'll text you a time to come out.

Salon:

Hi, it's Studio Nine. Sorry we missed you, we're with a client. What would you like to book, and what day suits? Reply here and we'll confirm.

Dental:

Riverside Dental here. Sorry we missed your call. Are you looking to book, move an appointment, or something else? Reply and we'll take it from there.

Law firm:

This is Alder Family Law. Sorry we missed you. Would you like a call back this morning or this afternoon? Reply here with a time. Please don't send case details by text.

Auto repair:

Northgate Auto here. Sorry we missed you, the bays are full. What's the car doing? Reply here and we'll text you a drop-off time.

What makes a good one

Three parts, and nothing else.

Your business name, first. The caller may have dialed four companies; the text has to say which one is answering, or it reads as spam and gets deleted.

One question. Not "how can we help", which needs an essay, and not three questions, which needs a form. One question the caller can answer in a word: repair or quote, any cooling or none, book or reschedule. The answer tells you how urgent it is and what to do next.

A reply path. "Reply here" is enough when the text comes from a number that reads its replies. A link to a booking page works for a salon or a practice where the caller wanted a time. A phone number to call back is the weakest option, because they just tried that.

Name, one question, a way to answer. Nothing else.

Texting rules to respect

The caller contacted you, and one text about their call is a reply to that contact. The rules below keep it that way.

  • Text about the call and nothing else. No offers, no review requests in the same message, no adding the number to a list.
  • STOP means stop. If the reply is STOP, or anything that reads like it, that number never gets another automated text from you, and you do not reply to ask why.
  • Send it once. One missed call, one text. A second text an hour later is the one that gets you reported as spam.
  • Register the number first. In the US, texts from a business number to customers go through carrier registration (A2P 10DLC) before they are delivered reliably. Twilio's own registration guide puts a brand's manual review at "seven business days or more" and campaign vetting at "two to three weeks", so plan for weeks, not days, and do not believe anyone who says it is instant.

What happens after they reply

The reply is the point, so decide in advance who reads it. If it is you, from the truck, keep the follow-up short: a time, a price range if you give one, a confirmation. If it is a service or an assistant, it should carry the conversation as far as a booking and then hand you the summary, not the whole thread.

Whatever reads the reply, it needs to know when to stop texting and call. "No cooling and my mother is here" is not a text conversation. It is a call to the on-call tech with the address already taken.

Mistakes that get it ignored

  • "Looks like we got cut off." Nobody was cut off; you did not answer. The caller knows that, and the line reads as a script.
  • No business name, or a name they do not recognise because the text comes from a number that is not the one they called.
  • A link and nothing else. A bare link from an unknown number looks like a scam, and most people have been told not to tap it.
  • Too late. Ten minutes on is a different message from ten seconds on, even with the same words.
  • A menu. "Reply 1 for service, 2 for sales" is the phone tree they were trying to escape.
